How Does It Work?

The scenario follows a simple process:

  1. Initial Safety Screen 

When someone sends a message, the system gets notified by HelpScout via the Watch Conversations (Instant) Trigger. All requests first go through spam detection. Clean messages proceed, spam gets blocked instantly.

  1. User Recognition Process 

The system checks if it knows the sender by their unique ID. To pass this step, we’ve added the SetVariables node and transformed the message & userID into the variables.

This creates two paths of operation:

New Users Path:

If no user match exists, a new ChatGPT assistant thread is created, its ID stored with the user's ID. The response is then saved in Google Sheets and sent to the user.

Returning Users Path:

Returning users' messages end up in their existing conversation thread using the retrieved thread ID.  New messages, like initial contacts, can be sent immediately or saved as a draft.

  1. Client History Check

The system looks at the records in our Google Sheets database to see if this client has contacted the business before. Based on whether it's a new client, or an existing one, the system creates a response using a ChatGPT assistant.

  1. Reply Generation
